Terms of Service

These Terms of Service set out the legal agreement between you and The Contract Studio UK Ltd for your use of the Pic2Plan mobile app and the pic2plan.io website. By creating an account or using Pic2Plan, you agree to these terms. If you do not agree, please do not use Pic2Plan.

1. Who we are and how to contact us

Pic2Plan is owned and operated by The Contract Studio UK Ltd, a company registered in England and Wales.

2. The service we provide

Pic2Plan is an app for iOS and Android that lets you:

• Take or upload photos/screenshots of letters, documents, emails and messages.
• Use AI to extract text, dates, times, locations and other details.
• Create, manage and share calendar events, and optionally sync them with your Google Calendar.

We grant you a limited, non-exclusive, non-transferable licence to use the app for your personal or internal business purposes, subject to these terms and any applicable app-store rules.

3. Eligibility and age

You must be at least 13 years old to use Pic2Plan. By using the app, you confirm that you meet this requirement.

If you are using the app on behalf of a business, you confirm that you have authority to bind that business to these terms.

4. Your account

• You need a Google account or Apple ID to sign in to Pic2Plan.
• You are responsible for keeping your login details secure and for all activity on your account.
• You must tell us promptly if you suspect unauthorised use of your account.
• You may only create an account for yourself; you must not share your account with others.
• You can delete your account at any time from within the app (where available) or by contacting support@pic2plan.io. Deleting your account will delete or anonymise your personal data within 30 days, subject to any data we need to keep for legal reasons, as explained in the Privacy Policy.

5. Your content and your rights

You retain ownership of any images, text or other content you upload to Pic2Plan, as well as the events created from that content.

You grant The Contract Studio UK Ltd and our service providers a limited licence to use, store, process and transmit your content solely for the purposes of providing Pic2Plan, improving the service and fulfilling our legal obligations.

You confirm that:

• You have all necessary rights to upload the content you use with Pic2Plan.
• Your content does not infringe anyone else's rights or violate any laws.

6. Acceptable use

You agree that you will not:

• Upload content that is illegal, harmful, defamatory, discriminatory, hateful, sexually explicit, or otherwise offensive.
• Use Pic2Plan for spamming or sending unwanted messages or events.
• Attempt to bypass security features, probe or scan our systems.
• Attempt to copy, decompile, reverse engineer or otherwise access the source code of the app, except where allowed by law.
• Use the app in a way that could damage, disable or overburden our infrastructure or that of our providers.

When you share events with others, you are responsible for ensuring you have a lawful basis and the right to share their contact details and any personal data included in the events.

We may suspend or terminate your account if we reasonably believe you have breached these terms or are misusing the service.

7. Freemium model and subscriptions

Pic2Plan is offered on a freemium and subscription basis.

Free tier:

• Limited to 5 scans per calendar month (or as specified in the app).
• No advertising.

Pro tier (subscriptions):

• Monthly subscription: £2.99 per month.
• Annual subscription: £24.99 per year.
• Subscriptions are auto-renewable unless cancelled.

All prices are as shown in the relevant app store and may include or exclude taxes depending on your location.

We may change our pricing or plans in the future. If we do, we will give you reasonable notice and the change will apply from your next renewal period.

8. Payments, renewals and cancellations

• Subscriptions are purchased through the Apple App Store or Google Play.
• Payments, renewals and cancellations are governed by the terms and policies of Apple and Google, and we do not control their payment processes or refund decisions.
• You can manage or cancel your subscription at any time via your Apple or Google account settings.
• If you cancel, you will usually continue to have Pro access until the end of the current billing period. We do not provide refunds except where required by law or by Apple/Google's policies.

9. AI and accuracy disclaimer

Pic2Plan uses AI-based optical character recognition (OCR) and natural language processing to extract information from your images and create events.

While we aim for high accuracy, AI and OCR are not perfect. The app may misread or miss information, such as dates, times, locations or other details.

You are responsible for:

• Reviewing and verifying events before relying on them.
• Checking important dates, times and locations manually, especially for critical appointments or deadlines.

To the fullest extent permitted by law, The Contract Studio UK Ltd is not liable for losses or damages arising from missed, incorrect or mis-scheduled events resulting from AI or OCR errors.

10. Intellectual property

• The Pic2Plan app, website, brand, logo, and all associated software and content (excluding your content) are owned by or licensed to The Contract Studio UK Ltd.
• You may not use our name, logo or branding without our permission.
• You must not copy, modify, distribute, or create derivative works from our app or website except as allowed by these terms or applicable law.
• Your rights in your own content are described in section 5.

11. Service availability

We aim to keep Pic2Plan available and working reliably, but we cannot guarantee that the app will be uninterrupted, secure or free from errors at all times.

The service is provided on an "as is" and "as available" basis. We may occasionally suspend or limit the app to carry out maintenance, implement new features, or respond to security issues.

12. Limitation of liability

Nothing in these terms excludes or limits our liability where it would be unlawful to do so, such as for death or personal injury caused by our negligence or for fraud.

Subject to that:

• We are not liable for any loss of profits, business, goodwill or data, or for any indirect or consequential loss.
• Our total liability to you for any claims arising out of or in connection with Pic2Plan or these terms will be limited to the total amount you have paid to us for the service in the 12 months before the event giving rise to the claim.
• This limitation applies to all legal causes of action, including contract, tort (negligence) and statutory claims, to the extent permitted by law.

13. Termination

You may stop using Pic2Plan at any time and you may delete your account via the app or by contacting us.

We may suspend or terminate your access to Pic2Plan (or any part of it) if:

• You breach these terms or our acceptable-use rules.
• We reasonably believe your use poses a risk to us, our users or third parties.
• We decide to discontinue the service (we will give you reasonable notice where possible).

On termination:

• Your right to use Pic2Plan will end.
• We will delete or anonymise your personal data within 30 days, except for any information we are required or permitted to keep by law, as set out in the Privacy Policy.
• Termination does not affect any rights or obligations that have already arisen.

14. Governing law and jurisdiction

These terms, and any dispute or claim arising out of or in connection with them, are governed by the laws of England and Wales.

The courts of England and Wales will have exclusive jurisdiction, although if you are a consumer resident in another part of the UK or the EU, you may also have the right to bring proceedings in your local courts.

15. Changes to these terms

We may update these Terms of Service from time to time, for example if we add new features, change our pricing, or if the law changes.

We will post the updated terms on pic2plan.io and, where appropriate, notify you in the app or by email. If you continue to use Pic2Plan after the new terms take effect, you will be deemed to have accepted them.
